How your details are used when you send an enquiry

Who is responsible for your details. You are sending your enquiry to the installer, the installer whose form this is. They decide how your details are used and are the controller of your personal data. Contact them directly about anything to do with your enquiry.

Our role. The form is provided by HeatLens (Building Energy Consultants Ltd), which stores your enquiry and passes it to the installer on their behalf. We act as their processor: we use your details only to provide the form and the software the installer uses to manage their work, and never for our own marketing. You can contact us at info@heatlens.co.uk if you cannot reach the installer.

What we collect.

• What you type into the form: your name, email address and/or phone number, the property address and postcode, the type of property, your current heating, when you would like to go ahead, whether you are interested in a grant, and your message.
• When you sent it, and the version of this notice shown to you.
• A one-way coded version of your internet (IP) address, which changes every day and cannot be turned back into your address. It is used only to stop the form being flooded with automated messages.

Why, and on what basis.

• To pass your enquiry to the installer so they can reply, and take the steps you asked for before any contract, such as arranging a survey (UK GDPR Article 6(1)(b)).
• To keep the form working and stop misuse, using the coded IP address (legitimate interests, Article 6(1)(f)).

Sending an enquiry does not sign you up to any marketing. If the installer wants to send you marketing later, they must ask you separately.

Who sees it. the installer and the people who work for them. HeatLens staff only where needed to run and support the service. Our hosting provider, Base44, stores the data for us. the installer is emailed your name and postcode when your enquiry arrives. We do not sell your details.

How long it is kept. If the installer does not take your enquiry forward, it is deleted automatically after 12 months. If they do, it becomes part of their job record, kept as their own privacy notice explains. The coded IP address is kept no longer than the enquiry.

Your rights. You can ask the installer for a copy of your details, to correct them, to delete them, or to stop using them. You can also complain to the Information Commissioner's Office (ico.org.uk). If you contact us instead, we will pass your request to the installer and help them respond.
